Administrative Coordinator – Perioperative Services (Operating Room)

As an Administrative Coordinator supporting our Perioperative (OR) Services, you’ll play a vital role in ensuring seamless operations within a fast-paced, high-acuity healthcare environment. As an Administrative Coordinator, you will organize and manage the non-clinical operations of the Care Center under the direction of Perioperative Leadership. This role requires strong organizational skills, critical thinking, decision-making ability, and the capacity to communicate effectively across all levels of hospital staff.

 Key Responsibilities:

Operational & Administrative Coordination

  • Manage personnel records, employee data, and confidential HR documentation
  • Process employee changes (transfers, onboarding, demographic updates, SARFs)
  • Maintain accurate timekeeping, attendance, and payroll records
  • Support departmental audits and reporting functions (CQI, compliance, metrics)

Payroll, Scheduling & Workforce Support

  • Coordinate and process biweekly payroll, identifying discrepancies and resolving issues
  • Track and manage attendance, tardiness, and workforce data
  • Assist in budget monitoring and financial tracking within guidelines

Training, Compliance & Education

  • Coordinate mandatory training programs (CPR, TB, licensure, competencies)
  • Track and report on compliance metrics and deficiencies
  • Schedule and organize in-service training sessions, ensuring readiness of materials and equipment

Communication & Team Collaboration

  • Serve as a key liaison between physicians, leadership, and clinical/non-clinical staff
  • Coordinate meetings, communications, and departmental updates
  • Prepare reports, presentations, meeting minutes, and correspondence
  • Foster a culture of service excellence, respect, and adaptability

Continuous Improvement & Operations Support

  • Identify workflow challenges and implement process improvements
  • Support development of policies and procedures
  • Ensure compliance with hospital standards and regulatory requirements
  • Participate in staff meetings and operational initiatives

Qualifications:

  • College coursework in Business Administration, Healthcare Administration, or related field
  • Minimum 3+ years of administrative or operations experience (healthcare preferred)

  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel)

Preferred Experience

  • Experience with Epic, Optime, Kronos, SharePoint
  • Background in healthcare operations, HR coordination, or payroll processing

Work Environment

  • Based onsite in Chicago, IL (Chicagoland area required)
  • Work setting includes Operating Room Command Center and Perioperative Leadership offices
  • Regular use of healthcare systems, computers, and communication tools
  • Occasional travel may be required

In this role, we anticipate that you will generally work approximately 24 hours per week. We anticipate that you will generally be scheduled to work the Day shift, from approximately 7am to 7pm  and will not be scheduled for on-call shifts. We anticipate you will be scheduled to work 100% at the Hyde Park Campus. The days of the week that you are scheduled will not vary depending on the week, but we anticipate that you will be scheduled to work on weekends (Saturday and Sunday) every week.

Compensation & Benefits Overview

 

UChicago Medicine is committed to transparency in compensation and benefits.  The pay range provided reflects the anticipated wage or salary reasonably expected to be offered for the position.

 

The pay range is based on a full-time equivalent (1.0 FTE) and is reflective of current market data, reviewed on an annual basis. Compensation offered at the time of hire will vary based on candidate qualifications and experience and organizational considerations, such as internal equity. Pay ranges for employees subject to Collective Bargaining Agreements are negotiated by the medical center and their respective union.
