Job Description

Join one of the nation’s most comprehensive academic medical centers, UChicago Medicine, as a Manager, HIM Operations for the Health Information Management department. This is an on-site position based at our Hyde Park Campus.   

  

In this role, you will be directly responsible for the direction, supervision, evaluation, and overall management of the professional and clerical staff within the record completion area. This includes ensuring that new employees receive appropriate orientation, and all employees receive ongoing in-service education within the Health Information Management Department areas. 

 

Essential Job Functions  

  • Ensure timely and accurate assembly and maintenance of inpatient, involved outpatient, and ambulatory medical records. 
  • Ensures timely and accurate analysis of physician documentation for inpatient and involved outpatient medical records; ensures timely and accurate dictation and transcription services for the medical staff; provides incomplete medical records and assistance to the physicians for record completion activities. 
  • Assists in intra or interdepartmental projects associated with defined responsible areas.  Lead and/or make recommendations to address any problems/concerns identified; help to create solutions and develop appropriate educational and training programs to address the problems/concerns.  
  • Partners with Information Systems and external vendors for implementation and maintenance of the electronic health record and other Health Information Management related systems.   
  • Applies federal, state and other regulatory requirements pertaining to use and disclosure of PHI, confidentiality, information security, information storage, retrieval and record retention. 
  • Determine workflow, employee instructions and adherence to policy and procedures of the Hospitals, the department and any licensing or accrediting agency (including but not limited to IDPH, IDPA, JCAHO, CMS) as they relate to maintenance of Record Completion/Operational Area, Expirations and the Health Information Management Department. 
  • Evaluate, at least annually, the performance of the professional and clerical staff as per bargaining unit contract or Human Resources Department policy. 
  • Interview, select, orientate, train, and evaluate employees under the designated areas of responsibility.  
  • Monitor attendance, productivity, and quality and provide ongoing feedback to employees. Initiate disciplinary actions as necessary and according to Hospitals policies and bargaining unit contracts. 
  • Review, develop, recommend, and implement goals and objectives for the Record Completion and Operational Areas.  Ensure that staff meets goals set for the area.  Suggest methods to improve productivity/workflows to meet area goals. 
  • Develop record completion policy, procedure, standards, and operating manuals and assure professional and clerical staff implementation; ensure that all employees are informed of current and updated policies and procedures; review and regularly update internal controls for both professional and clerical work. 
  • Collect and collate statistical data and graphs for required management reports relating to task performance and productivity. 

  

Required Qualifications  

  • Requires a Bachelor of Science or associate degree in Health Information Management, Business Administration, Healthcare Administration, or related field                                                       
  • Requires 3 – 5 years prior lead/supervisory experience, preferably in a health information management department 
  • Requires 2 of the 3 - 5 years of experience be directly related to physician record completion, electronic medical record storage and maintenance activities, and accrediting/licensing requirements for medical record content in an acute care hospital setting 
  • Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT) credentials with the American Health Information Management Association (AHIMA)  
  • Management skills of planning, organizing, managing, controlling and staffing; ability to adjust to change and make difficult decisions independently 
  • The ability to get things performed through, with, and by people; dependable, reliable and able to maintain good interpersonal relationships 
  • Strong communication skills required; ability to impart knowledge of procedures and techniques; ability to educate and train new and existing personnel 
  • Experience in a bargaining unit setting preferred

Compensation & Benefits Overview

 

UChicago Medicine is committed to transparency in compensation and benefits.  The pay range provided reflects the anticipated wage or salary reasonably expected to be offered for the position.

 

The pay range is based on a full-time equivalent (1.0 FTE) and is reflective of current market data, reviewed on an annual basis. Compensation offered at the time of hire will vary based on candidate qualifications and experience and organizational considerations, such as internal equity. Pay ranges for employees subject to Collective Bargaining Agreements are negotiated by the medical center and their respective union.
