Job Description

Join UChicago Medicine, as a Central Sterile Processing Instrument Tracking System Coordinator in the Sterile Processing Department.  

The Central Sterile Processing Instrument Tracking System Coordinator is responsible for analyzing sterile processing metrics, OR surgical cases, loaner processing, inter-departmental vendor compliancy, sterilization efficiency, and assist in any other technical advancements. In this role, you will be responsible for knowing all modalities of sterilization. You will work with instrument management systems and other related technology.

Essential Job Functions

  • Responsible for providing inventory management, program management, dedicated comprehensive technical support, reporting and analytics to the Perioperative Services, Endoscopy, and external areas.
  • Ensures accurate tracking system data management for all equipment, scopes and instruments maintained with a special emphasis on data support functions.
  • Works collaboratively with SPD leadership/educators to create/revise count sheets, enter instrumentation and trays into the tracking system, including tray weights while adding pictures/comments as needed.
  • Supplies leadership with data/reports as requested to monitor processes and adherence to standard operating procedures related to instrument/scope reprocessing, staff productivity, tray usage etc.
  • Collaborates with SPD educator to assist with orientation and training of sterile processing employees and operating room staff related to the instrument tracking system.
  • Responsible for the monitoring the process of Vendor instrument management, including the following functions: - Reception, inspection, and system entry - Instrument contents verification and documentation - Return to Vendor and removal from inventory. Emailing reps directly for not following policies and escalating/alerting SPD management when necessary.
  • Implementation and management of individual instrument marking/tracking processes.
  • Maintains instrument repair needs, including coordinating with vendors, making sure instrument tracking system reflects when equipment is sent/received back from repair.
  • Participates in various department initiatives, meetings and projects related to data or inventory management with both internal and external colleagues.
  • Demonstrates data management and reporting with maintaining records of sterilization processes, instrument tracking, and inventory usage, generates reports on sterilization efficiency, errors, and trends, and ensures compliancy with regulatory agencies (AAMI, CDC, OSHA).
  • Demonstrates proper process optimization analyzing workflow data to identify inefficiencies, recommend process improvements for faster sterilization turnaround, and work within the sterile processing department to implement best practices.
  • Show communication and coordination as the liaison between sterile processing, operating rooms, and supply chain teams, provide data insights to leadership for decision making, and assist in staff training by providing data driven feedback on performance.
  • Display knowledge of software and technology management through system maintenance and troubleshooting issues with sterile processing software, train staff on specific data entry’s and usage of tracking systems, and ensure integration of sterile processing data with partnership of hospital IT system management.
  • Participates in required education programs, orientation and training courses to maintain competency in job skills, knowledge and equipment through such things as in-services, etc.
  • Respects the rights, privacy and property of others at all times, including confidential information of patients, according to administrative policies and applicable laws and regulations

Required Qualifications

  • High school diploma or equivalent
  • Must have knowledge of hospital equipment, supplies, surgical instrumentation, and medical terminology.
  • 5+ years in sterile processing (technician related experience)
  • Must have familiarity with advanced technical data systems
  • Must be able to appropriately, and effectively react to requests for emergency data needs
  • Must be a clear communicator

Preferred Qualifications

  • 3 years in a Sterile Processing leadership position
  • Associates or Bachelor’s degree in healthcare administration, data analytic, nursing, or other related healthcare fields

Compensation & Benefits Overview

 

UChicago Medicine is committed to transparency in compensation and benefits.  The pay range provided reflects the anticipated wage or salary reasonably expected to be offered for the position.

 

The pay range is based on a full-time equivalent (1.0 FTE) and is reflective of current market data, reviewed on an annual basis. Compensation offered at the time of hire will vary based on candidate qualifications and experience and organizational considerations, such as internal equity. Pay ranges for employees subject to Collective Bargaining Agreements are negotiated by the medical center and their respective union.
