Job Description

Join one of the nation’s most comprehensive academic medical centers, UChicago Medicine, as an OCM Communications and Training Lead on our Office of Technology Change Mangement team. This position will be primarily a work-from-home opportunity with the requirement to come onsite as needed.       

 

The OCM Communications and Training Lead is responsible for developing communications and delivering training across strategic IT initiatives. This role enhances change management activities within the IT PMO. A key objective of this role is to support design, development, and delivery of communications and training capabilities for IT initiatives and corresponding business workflows/processes to achieve IT strategic priorities. In this role, the individual will build relationships between IT and business stakeholders to effectively facilitate change management through existing communication and training channels. The role will partner closely with UCM IT, clinical, operational, and organization leaders to support change transformation across the enterprise. The primary responsibility will be applying change management processes and tools that maximize employee adoption and minimize resistance. In addition, the Communications and Training Lead is responsible for working with other leaders to support the IT portfolios that include project/program initiation activities, project/program budget management, and risk and issue mitigation.

Essential Job Functions  

Organizational Change Management Leadership:  

  • Apply change management processes and tools to support adoption of the changes required key initiatives  
  • Participate and engage in project meetings, workshops, and design sessions as needed to collect information required to make key decisions and provide input  
  • Resolve OCM related issues and mitigate risks; for those that cannot be mitigated directly, escalate to UCM OCM leadership 
  • Collect lessons learned throughout the project and apply lessons learned to best practices in change management 
  • Engage in the development of innovative communications and training tools  
  • Work closely with project managers on scoping, timelines, and budget for large-scale projects 

 

Communications Activity Execution:  

  • Support the design, development, delivery, and management of communications  
  • Provide recommendation of improvement to communications for impact analyses, assessing change readiness and identifying key stakeholders  
  • Develop communications for project expectations, approach, roadmaps, work plans, deliverables, and goals  
  • Lead execution of OCM activities, which include the following: 
  • Create and Execute communications plan 
  • Track communications 
  • Develop and send communications 
  • Communicate to key leadership  
  • Communicate to change network 
  • Support Hypercare communications 

 

Training Activity Execution:  

  • Support communications of training efforts  
  • Report on status of training plan to UCM OCM Leadership 
  • Provide guidance on recommendations for key training decisions and training strategy 
  • Work with LMS team on where to house training in UCM LMS 
  • Collaborate with the UCM OCM Leader and training vendor/partner to ensure that training and OCM activities are integrated  
  • Lead the development of the training registration and tracking process; provide registration and completion reports to operational leaders; monitor registration and make changes to schedule as needed  
  • Conduct knowledge transfer from content development team to understand available self-paced/e-Learning training materials  
  • As needed, build materials to facilitate the training sessions, which are supplemental to formal self-paced/e-Learning training content (LMS, leave-behinds, etc.) 
  • Support the build of training job aids, computer training, and in-person instruction 
  • Faclitate any training sessions as needed 
  • Support creation of a post-training feedback form/survey and collate feedback from training sessions, collaborating with UCM OCM Leadership on content and key questions. Feedback form is to understand how training delivery can be improved week over week 
  • Support development of a post-training proficiency self-assessment that can be taken to gauge trainees' confidence of material presented during training 
  • Document training attendance for each training session 
  • If identified, communicate to UCM Technical Team data needs in the training environment to support training delivery 
  • Lead execution of OCM activities, which include: 
  • Create and Execute training strategy and plan 
  • Plan training logistics 
  • Execute training logistics 
  • Coordinate all on-site training support 

 

Relationship Building and Communication: 

  • Establish relationships with key business partners and leaders to increase engagement across enterprise 
  • Engage with Change Readiness Manager and Project Manager throughout project life cycle 
  • Establish relationship with internal communication to ensure appropriate release communications 
  • Coordinate with LMS team for all online training needs 
  • Performs other duties as requested by manager, PMO leadership, and CIO 

 

Required Qualifications 

  • BS/BA degree required; MBA or MHA preferred 
  • Three or more years of hands-on experience in organizational change management 
  • Experience in organizational communication writing and training delivery  
  • Strong analytical and time management capabilities required; must have the ability to manage multiple complex projects at the same time, as well as the ability to stay focused on key business strategies and deliverables 
  • Practical knowledge and experience with Prosci methodology 
  • Proven track record as a leader and as someone that can support an organization and a high-performing program and team 
  • Excellent skills in oral and written communications, leadership, supervision and interpersonal relationships 
  • Ability to develop productive working relationships with customers and end users, especially senior leadership 
  • Attention to detail, the ability to organize, document, and delegate tasks and coordinate projects 
  • A deep understanding of organizational change management and leading communications and training across change initiatives 
  • Direct hands-on and management experience in healthcare operations and knowledge of how to address those issues with IT or digital solutions  
  • A clear track record of increasing responsibility  

 

Preferred Qualifications 

  • Prosci Change Practitioner certification

Compensation & Benefits Overview

 

UChicago Medicine is committed to transparency in compensation and benefits.  The pay range provided reflects the anticipated wage or salary reasonably expected to be offered for the position.

 

The pay range is based on a full-time equivalent (1.0 FTE) and is reflective of current market data, reviewed on an annual basis. Compensation offered at the time of hire will vary based on candidate qualifications and experience and organizational considerations, such as internal equity. Pay ranges for employees subject to Collective Bargaining Agreements are negotiated by the medical center and their respective union.
